Read the status and communication together

Save the application reference, status history, query or rejection order and date of receipt. A short dashboard label can omit the reason or deadline. Distinguish an unsubmitted draft, pending payment, clarification request and formal rejection before deciding whether to resubmit or seek review.

Create a point-by-point response

Make a table with the authority’s question, your explanation, supporting attachment and location of the correction. Common application problems include mismatched entity names, wrong premises evidence, unsuitable KoBs or incomplete product documents. Correct the underlying application details as well as the cover letter. Check document consistency.

Treat rejection as a separate decision

Read the reasons and cited provision. Section 31 provides an appeal route for a rejected licence application; the appropriate forum and procedure should be assessed against the actual order and current rules. Do not confuse this with the separate appeal provisions for an improvement notice. Read the Act.

Keep the account secure

Use official FoSCoS access and retain submission acknowledgements. Consultants can prepare evidence, but users should control their account and payment records. Do not share OTPs with an unverified caller promising approval or pay an unofficial account to make a query disappear.

Reconcile the final result

After responding, track whether the authority asks for more evidence or issues a decision. Confirm the actual certificate before starting an activity that requires authorisation. A revised attachment should remain linked to the submitted version so later questions can be answered from a coherent file.

A worked example

Hypothetical example

An application is reverted because the rental document identifies a different floor. The applicant obtains appropriate premises evidence and explains the discrepancy in a query-response table. Uploading a clearer photograph alone would not have resolved the mismatch, so the response fixes the factual issue.
